Key Responsibilities 

  • Greet and welcome patients, visitors, vendors etc. with a friendly, professional attitude
  • Maintain a clean, organized, and comfortable reception area.
  • Collect and verify patient information, including demographics, medical histories, and medical aid details using assigned templates/forms.
  • Update patient records with care and accuracy into Optimax or other software. 
  • Schedule and confirm patient appointments using WhatsApp, phone calls, TXT/SMS messages, emails, social media platforms, Optimax etc. 
  • Coordinate with medical staff to optimize appointment availability
  • Manage patient cancellations and reschedule appointments as necessary.
  • Receiving payments 
  • Quote and invoice orders – using Optimax and any other system which may be adopted  
  • Follow up medical aid payments/claims 
  • Receive and receipt payments from patients for services (cash, POS, bank transfers and any other payment methods) 
  • Answer and direct phone calls in a courteous and timely manner.
  • Address patient inquiries or direct them to the appropriate department or staff member.
  • Assist with basic billing inquiries and direct more complex issues to your supervisor.
  • Maintain accurate and up-to-date patient records, including contact
  • information, appointments, and billing details.
  • Ensure confidentiality of patient information in compliance with health
  • regulations.

 

Job Requirements:

  • Diploma in Marketing or any related qualification 
  • 1 year experience in a similar role
  • Outstanding Customer service orientation
