This position has the responsibility of managing and supporting the flow of information in the organisation. The position is there to provide effective and courteous service to people contacting the organisation in a manner that promotes a positive image.
Academic Qualifications Required
- A National Diploma in Secretarial Studies is a must have.
- A minimum of 5 “O” Levels including English and Mathematics at grade C or better,
Experience Required
- At least 2 -3 years relevant experience
- Age requires is 25 years and below.
Duties and Responsibilities
- Operates centralised telephone system, answering incoming calls and directing such calls to staff members.
- Transfers and makes outgoing calls to ensure communication from all staff and stakeholders.
- Records telephone messages and passing them to respective staff members.
- Receives visitors and directing them to appropriate offices.
- Maintains a file on telephone usage.
- Attends and operates the Authority’s enquiry desk to ensure the provision of a qulty service to all Stakeholders.
- Receives and forwards parcels to Registry for internal delivery.
- Types correspondences, letters, and confidential documents.
- Manages meeting rooms scheduling and bookings.
- Manages main entrance doors security, control system to ensure access by visitors.
- Maintains a neat and tidy appearance of the reception and waiting areas.
