Primary Duties

·        Inventory Management:

  • Monitor and manage inventory levels to ensure optimal stock availability while minimizing excess stock and obsolescence.
  • Ensure proper receipt, inspection, storage, and issuing of stock items.
  • Develop and enforce stores policies, procedures, and internal controls.
  • Forecast demand and supply of stocks.
  •  Have adequate stock.
  • Producing of stock reports
  • Produce daily fuel dips.
  • Inventory monitoring reports, derived from the weekly stock management report to avoid stock outs.
  • Organise and oversee quarterly stock counts for Main stores and other branch stores.
  • Reconcile results of stock count.
  •  Liaise with Management Accountant Contracting on stock valuation process.
  • Ensure all items of stock in Main stores are in the system.
  •  Ensure all items in stock, were purchased strictly for stocking and not through petty cash.
  • Ensures goods received into stock have been ordered for, and are at the correct quality and price.

Oversees posting of supplier documents in the system:

  • Oversee posting of supplier documents, invoices, delivery notes and credit notes.
  • Signing of the Goods Received Note then submit to Accounts for payment.
  •  Oversee of the credit then sent to accounts for further processing.
  • Make sure the requisitions ready in the system.
  • Make sure all stock items have been requested on time to avoid stock outs. 
  • Tracking of orders
  • Tracks how and when the items will be received from the supplier in conjunction with Procurement.

Order Processing:

  • Coodinate the procurement process, including ordering, receiving, and stocking of materials and products.

Data Analysis:

  • Analyse inventory data and trends to forecast demand, prepare reports, and make informed decisions on stock management.

Policy Development:

  • Develop and implement inventory control policies and procedures to enhance operational efficiency and compliance.

Quality Control:

  • Conduct regular audits and inspections of inventory to ensure accuracy and quality standards are maintained.

Coordination:

  • Collaborate with various departments, such as procurement and finance to align inventory management with overall business objectives.

Leadership & Supervision:

  • Supervise Stores Supervisors, Clerks, and Assistants. Allocate tasks, set performance standards, and monitor outputs. Train, mentor and manages performance for stores staff on systems, procedures, and compliance.

Cost & Resource Management:

  • Monitor stock usage and wastage to support cost-control initiatives. Recommend disposal of obsolete or damaged items. Ensure cost-effective procurement in coordination with Procurement and Finance.

Reporting & Documentation:

  • Prepare accurate and timely reports on stock balances, consumption trends, and variances. Support internal and external audits with required documentation. Provide monthly management reports on stores performance.

Compliance & Safety:

  • Enforce compliance with SHEQ standards in stores operations. Ensure secure storage facilities to safeguard against theft, fire, or damage. Ensure stores records comply with company and statutory requirements.

 

Academic Qualifications Required:


Minimum Required Qualifications:

  • Bachelor’s degree in supply chain management, Logistics, Procurement, or Business Administration.

Professional Qualifications Required:

  • Chartered Institute of Purchasing & Supply (CIPS)

Years of Experience:

  • Minimum 5–7 years’ experience in inventory, warehousing, or stores management,

Additional Training Required

  • ERP or inventory management systems training.
  • Leadership and people management training.
  • Health, Safety & Environmental (HSE) training.
  • Report writing and business communication.
