1. Job Purpose
The Export Finance Clerk is responsible for managing export-related financial processes and ensuring compliance with statutory, tax, and exchange control requirements under the direction of the Finance Manager. The role focuses on export costing, CD1 registration and acquittal, offshore funds tracking, loan registration and applications, ZIMRA tax compliance, and preparation of financial statements for management and regulatory use.
2. Key Responsibilities
A. Export Finance & Banking
- Prepare, submit, and track CD1 forms in line with Reserve Bank of Zimbabwe (RBZ) requirements.
- Monitor and reconcile offshore export proceeds to ensure timely acquittal and compliance.
- Liaise with banks to ensure all export payments and remittances meet exchange control and financial regulations.
- Maintain an up-to-date CD1 and export payments register showing receipts, acquittals, and outstanding items.
- Prepare and present monthly export finance reports to the Finance Manager and management.
B. Costing & Financial Analysis
- Prepare export costings, including transport, insurance, finance, and administrative overheads.
- Perform cost vs. revenue analysis to determine profit margins for each shipment.
- Support the Finance Manager in variance and profitability analysis reports.
C. Loan Management
- Assist in preparing and compiling loan application documentation for local and offshore facilities.
- Register and update all loan records with relevant authorities (RBZ, banks, Ministry of Finance).
- Track loan disbursements, repayments, and interest schedules.
- Report regularly to the Finance Manager on loan positions and compliance obligations.
D. Statutory & Regulatory Compliance
- Ensure full compliance with RBZ exchange control requirements and ZIMRA export regulations.
- Maintain and file all supporting documentation required for audits and inspections.
- Coordinate with ZIMRA, RBZ, and banks to ensure all export and tax matters are properly documented and up to date. E. Tax Management (ZIMRA)
- Prepare and submit ZIMRA returns, including VAT, Income Tax, Withholding Tax, and PAYE where applicable.
- Ensure proper VAT treatment of exports and correct refund claims on zero-rated supplies.
- Maintain a tax compliance calendar to track submission deadlines and payments.
- Reconcile ZIMRA statements and liaise with tax officers to resolve queries, disputes, or audits.
- Support the Finance Manager in tax planning and compliance strategies to minimise risk and optimise tax efficiency. F. Financial Reporting
- Assist the Finance Manager in preparing monthly, quarterly, and annual financial statements.
- Reconcile foreign currency accounts, customer accounts, and inter-company balances.
- Prepare cash flow, loan, and payment schedules for management decision-making.
3. Qualifications and Experience
- Diploma or Degree in Accounting, Finance, or Banking.
- Minimum 3 years’ experience in export finance, tax compliance, or treasury roles.
- Strong knowledge of RBZ Exchange Control and ZIMRA tax regulations.
- Experience in Pastel, SAP, or similar accounting systems.
- Strong Excel and analytical skills.
