Job Purpose
To provide a warm, professional and efficient front-of-office service to clients, candidates and visitors of the organization, while carrying out a range of administrative and switchboard duties that support the smooth day-to-day running of the office.
Key Responsibilities
• Welcome and receive clients, candidates and visitors in a courteous and professional manner, directing them to the appropriate staff member or meeting room.
• Answer, screen and route incoming telephone calls promptly and professionally; take and relay accurate messages.
• Manage the reception area, ensuring it is neat, presentable and reflects the professional image of the organization at all times.
• Schedule and coordinate appointments, meetings and interview bookings, including preparation of meeting rooms.
• Receive, sort and distribute incoming mail, packages and deliveries; prepare outgoing mail and courier items.
• Maintain the visitors' register in line with office security procedures.
• Provide general administrative support, including photocopying, scanning, filing and data capture.
• Assist with basic client and candidate queries, escalating more complex matters to the relevant consultant.
• Order and maintain stock of front-office and refreshment supplies, and report facility or equipment faults.
• Support other administrative and clerical duties as assigned by the superior.
